Stagland’s Booking Terms and Conditions

Definitions

“We/us/our” means Stagland (the trading name of the operating company Stagland Kft).

“The Event” means any holiday, travel, activity, excursion, tour, package or function organised or advertised by us.

“You/your/yours” means the person who has signed the booking form (who we consider the lead name, group leader and main point of contact) and includes all the people on whose behalf you have signed and will be participating in the planned event.

“Supplier” means the company (or person) that is holding, organising or providing the event or any part of it.

“Price” means the total cost of the event (inclusive of any tax).

These terms and conditions govern the contract between you and us to the exclusion of all other terms and conditions save for those implied by law.

No variation to these terms and conditions shall be valid unless in writing and signed by both you and the company managing director.

The person making the booking is completely responsible for making all parties in the group aware of these terms and conditions.

Booking

When you make your booking you are required to provide us with full details of the group including; numbers, times, dates, activities and any other relevant information we may require. You must also pay a non-refundable initial deposit during the sales process.

Your contract with Stagland for the booking will only become valid at the time we notify you in writing either via email or through an invoice. Upon receipt you must inform us immediately if any of the booking information is incorrect. If for whatever reason your booking has not been accepted we will contact you in writing to inform you of the decision and provide a suitable explanation.

Deposit

For all group bookings you will be required to pay a deposit of €100.00 euro or ₤85.00 GBP activities under 1000 EUR, activities above 1000 EUR required to pay a deposit €200.00 or ₤170.00 GBP; unless this amount is paid in full it will not be possible to confirm your booking. It may also potentially result in your specific selected event programme requirements becoming unavailable.

To pay the deposit the payment must be made directly into our bank account via online transfer.

We will send you booking confirmation once the deposit is paid which will ensure that your booking is secured and price and event availability are guaranteed.

Please note all deposits are non-refundable.

Final Payment

The final balance is due to be paid in cash when you arrive at your event destination. It must only be paid to your officially designated Stagland guide, and if possible should be made in GBP/English Sterling (although in special cases where this is not possible euros may be accommodated at our discretion).

Alternatively, if it is more convenient for you, the balance may also be paid by bank transfer. However this must be done no later than 7 days prior to arrival at the destination.

Pricing

All prices listed on the website are current at time of publishing. We guarantee that the price of your event will be as agreed and shown on your booking confirmation and will not be subject to any additional surcharges.

However we reserve the right to alter or amend our prices in exceptional circumstances such as if our costs increase as a result of any major adverse changes in any of the exchange rates which have been used to calculate the cost of your event, or significant changes in transport costs including fuel prices.

Amendments Made By You

Any amendments made prior to payment of deposit are without charge. We recognise that occasionally you might want to change something after booking, and in these instances your quoted price will be recalculated accordingly based on any subsequently revised prices.

We will always do our best to try to accommodate any requested changes, but they must be made in writing from you no less than 45 days before the planned event is due to commence. Should the group number change, the event price will be recalculated based on the revised group size.


What Happens if You Cancel

Should you need to cancel your booking at any time (and for any reason) you must advise us in writing immediately. Your cancellation will only be effective as at the date we receive your written confirmation. To cover our costs the following cancellation charges will apply:

• Cancellations are free until confirmation of payment of deposit • Your deposit is 100% non-refundable • Cancellations made within one month and up to 15 days before the event will be charged a cancellation fee of 50% of the total cost • Cancellations made within 14 and 8 days before the event will be charged a cancellation fee of 100% of total cost Changes Made By Us

Planning and co-ordinating your event usually takes place many months in advance. Therefore whilst every attempt is made to ensure that your activities run as scheduled we nevertheless reserve the right to cancel or make amendments at any time without notice due to unsuitable conditions, prevailing weather problems, or due to any other factors beyond our control. This includes if we feel that there are unmanageable risks or an unacceptable level of service being provided by a supplier.

We will make every effort to notify you in advance as soon as possible of any changes, but are under no obligation. In the unfortunate event that we have to cancel an activity we shall make every effort to re-arrange the event to another mutually convenient time.

However, we do not pay compensation in circumstances where we have to cancel your booking including those arising from Force Majeure.

Force Majeure are unforeseeable circumstances beyond our control. They include (but are not limited to) industrial disputes, natural disasters, fire, technical problems, sickness, bad weather, wars, insurrection, equipment failure, terrorism, nuclear disaster, government action and acts of God.

Standards Of Behaviour

We understand and appreciate the fact that you have booked with Stagland with the express purpose of having a fun and enjoyable time. However, upon booking with us it is also understood that you agree to behave in a safe and responsible manner at all times. You must not do anything (or fail to do anything) which may cause damage to staff, property, equipment or to other participants. Neither should you cause nuisance, annoyance, disturbance, inconvenience or injury to any other person(s).

Any form of harassment whether sexual, verbal or physical to our local representatives (guides) is completely unacceptable. They reserve the right to leave the group immediately at any time and in any circumstances if they feel threatened or abused.

You also agree to arrive on time for all events, obey the proper instructions of any activity leader, and will dress and equip yourself suitably for each event. You also agree to use safety equipment as instructed and to never tamper with or abuse it in any way. You also agree to compensate us for any damage or loss of earnings caused by any reckless actions before, during or after an event.

Rights of admission for night life venues remain at the discretion of the venue at all times and venues may also require identification for some (or all of) the group.

You wear fancy dress at your own risk, and we cannot be held responsible if any activity or night life venue refuse entry if they consider your attire to be unacceptable or if one or all of your group are behaving inappropriately. Any persons who are thought to be under the influence of drink and or drugs (at our discretion) will not be permitted to partake in any activities as we see fit. No refund will be given.

In the unlikely event that we have to terminate your arrangement as a result of unacceptable behaviour and serious breach of terms and conditions, then we will have no further responsibility for you and this includes your return travel arrangements.

Liability

Stagland accept responsibility for all our actions except where they result in any injury, illness or death.

We will also not accept any liability for criminal actions, accidents that occur as a result of drink or drugs or for any loss of personal property/clothing/luggage.

Should any adverse incidents occur it is your responsibility to seek compensation or reimbursement from the primary supplier involved i.e. transport operator or specific activity provider.

As some of our packages involve strenuous activities it is entirely your responsibility to ensure that you have the adequate levels of health and fitness required for any particular activities, and to inform us before booking of any condition or physical problem of which we should be aware.

Also in some cases it might be necessary for you to sign a disclaimer form before commencing an activity.


Personal Injury Unconnected With Your Booked Event

Although we cannot accept any responsibility if a group member suffers accidental illness, personal injury or death arising out of an activity which does not form part of the package or any excursions arranged through us, we shall, at our discretion, offer advice, guidance and assistance to help you in resolving any claim you may have against a third party, provided we are advised of the incident within 90 days of its occurrence.

Complaints

Although we pride ourselves on our good reputation and the high quality of service we provide, we accept that things sometimes occasionally do not go to plan.

If a situation arises that you are not happy about (for whatever reason) it is your responsibility to report it immediately to us. When this happens we will attempt to resolve the issue then and there to the best of our ability.

However, if you neglect to inform us of the problem immediately and leave it until a later date after the event, then we have sole discretion as to how it should be best managed.

If we are unable to resolve the problem at the time then we request that you submit a formal complaint to us in writing, fully detailing the issue, within one month of the incident happening. We will then thoroughly investigate the matter and respond in writing within 30 days of its receipt.

Special Dietary Requirements

We will always endeavour to accommodate group members with special dietary requirements but cannot guarantee an alternative will be arranged.

All special dietary requirements must be communicated to us as soon as possible. We reserve the right to change or alter any set menus without notice. We are not liable for any food allergies and you must make us aware of any circumstances that may affect your safety or health whilst participating in any activities.

Data Protection / Privacy

The information you have supplied will be treated in accordance with the provisions of the EU Data Protection Directive as implemented by Hungary. During activities we occasionally take photographs and videos for promotional purposes which may be uploaded online. In submitting your booking you are indicating your consent, unless you indicate to us otherwise.

Intellectual Property Rights

Ownership and all rights created in relation to the contents of this website pertain solely to us unless otherwise indicated. You may not under any circumstances modify, copy, reproduce material or information or download from our website except with our full and express written permission.
